Call to Order:

The meeting was called to order at 6:32 PM.

Quorum:

Quorum was established with 3 out of 4 board members present.

Minutes:

Mark Smith moved to approve the minutes of the October 15, 2018 Board Meeting with minor corrections. Mike Bridges seconded the motion. Motion carried.

Financial Report:

David was not present but provided copies of the financial report and 2019 budget. Revisions were made to the budget to adjust for increases in grounds and insurance costs. The budget for 2019 will run at a shortfall. No dues increase will be made for 2019 and the budget is accepted as is. An increase will be discussed when it is time for the 2020 budget.

Grounds Report/ACC Report:

New lights were purchased for the sign and installed. Receipts for materials will be submitted to the accountant for reimbursement.

Manager’s Report:

The home with an RV stored behind the fence will require another warning letter explain that RVs may not be stored within the Association if visible above the fence line.

Old Business:

Newsletters were mailed out by Management.

New Business:

A concern is expressed regarding late notices generated by the online system. Since some pay online and others pay by check to the accountant there is occasionally a disconnect between the two methods of entry. The online system may send a reminder notice for dues when the owner has already sent payment to the accountant. Management adjusted the late fee settings and this should remedy the situation.

Adjournment:

Hearing no further business Mike Bridges moved to adjourn the meeting. Mark Smith seconded the motion. Meeting was adjourned at 7:02 PM.

Next Meeting:

The next meeting will be held on January 21, 2019 at 6:30 PM at Mark Smith’s home. The annual meeting is set for February 20^th, 2019 at the Bayshore Clubhouse.
