Minutes of October 15, 2018
Attendees:
Mark Smith (President/Board), Mike Bridges (Treasurer), Barry Yabyabin (Secretary/Board), Kay Waitman (Vice President) and David Riley (Accountant).
Gloria Strong represented Ben Marsh & Associates Inc.
Candice Haywood represented Ben Marsh & Associates Inc. via phone.
Call to Order:
The meeting was called to order at 6:32 PM.
Quorum:
Quorum was established with 4 out of 4 board members present.
Minutes:
Mark Smith moved to approve the minutes of the August 13th Board Meeting. Kay Waitman seconded the motion. Motion carried.
Financial Report:
David provided copies of August and September’s financial reports. August financials were skipped. Mike Bridges moved to approve the financial report. Mark Smith seconded the motion. Motion carried.
Grounds Report/ACC Report:
Mike Bridges presented the Grounds and ACC report. Wind damage and a longer than usual grass growing season contributed to higher costs. Mike would like to rehire this Company for next year as the grass has never looked better. The broken gate was fixed and the last roof was completed. 10001 Whale Bay talked to Mike about repairs he would like to make on his property, and they were approved.
Manager’s Report:
3125 Admiralty Bay still has not responded about her fence. Mike suggested that we send one last letter stating if it is not fixed we will be taking legal action.
3150 Admiralty Bay needs a letter sent asking if they need any assistance with bringing their property up to the Association’s standards.
10040 Eshamy Bay needs a letter sent about his trailer.
Welcoming Committee:
Management should keep an eye open during drive-by’s for any unusual activity around the half circle near Bettles Bay, as many people in that area are currently out of town.
A newsletter will be done encouraging various safety measures.
New Business:
Paved path that is buckled and heaved needs to be torn up and repaired. D1 was proposed and Mike will get some bids.
Spring pruning needs to be done. Will decide in the Spring if someone should be hired, or if a few volunteers can do it together.
Adjournment:
Hearing no further business Mark Smith moved to adjourn the meeting. Barry Yabyabin seconded the motion. Meeting was adjourned at 7:06 PM.
Next Meeting:
The next meeting will be held on November 19, 2018 at 6:30 PM at Mark Smith’s home. The annual meeting is set for February 20th, 2019 at the Bayshore Clubhouse, if it’s available.
