Minutes of 24 October 2016


Mark Smith (Vice President/Board) Mike Bridges (Treasurer/Board/ACC Chairman), Kay Waitman (Secretary/Board Member), Stan Mayra (Board), and David Riley (Association Accountant) were present. Randy Bañez (President/Board) was absent.

Deanne Tuckerman and Candice Haywood represented Ben Marsh & Associates Inc.

Call to Order:

The meeting was called to order at 6:40PM.


Quorum was established with 4 out of 5 Board members present.

Approval of Minutes:

The minutes of the 26 September 2016 Board Meeting were reviewed. Mike Bridges moved to approve the minutes with the following changes. Jo Young should be Joe Young, boarders should be borders, and the last sentence of the first paragraph on page two be deleted. Kay Waitman seconded the motion. Motion carried.

Financial Report:

David Riley presented the financial report.

David pointed out we have 32,829.04 in Premium Savings. This is the lowest our account should get.

David would like to get an update from Shane Osowski regarding the Miller case. Deanne said she would call Shane and have him call David Riley with updates.

We are currently at 86.52 percent of the budget for the year. This includes the final leaf pick up as well as the spreading of weed & feed for the grass.

David reported all the houses have closed and that there are 5 or 6 that have closed very close together.

Mark Smith moved to approve the financial report. Mike Bridges seconded the motion. Motion carried.

Grounds Report:

Mike Bridges reported the grounds are ready for winter. He has not met the new grounds person as of yet but will very soon.

The sign at 100thand Bayshore look good with the new shrubs at borders. There is a birch behind the sign that has broken off high up but it is not in danger of harm to anything.

Architectural Committee Report (ACC):

The new roof at 3084 Bettles Bay has been installed and it looks great.

It looks like all the work approved this year has been completed or some of the painting might be scheduled for first thing next spring.

Kay Waitman moved to approve the Grounds and the Architectural Committee Reports. Stan Mayra seconded the motion. Motion carried.

Manager’s Report:

Candice asked for clarification on the reports the board would like from management regarding the drive throughs etc. The board would like weekly violation reports and status reports.

Mike Bridges moved to approve the Managers Reports. Mark Smith seconded the motion. Motion carried. 

Welcoming Committee:

David Riley stated all houses have sold and the Welcoming Committee will have 5 or 6 houses to visit.

Old Business:

Mike Bridges moved to accept the final draft of the House Rules. Stan Mayra seconded the motion. Motion carried. Management will publish the new House Rules and make sure the webmaster gets a copy to update the web page as well as the people who are updating Facebook get the update. Management will get a price from the printer for sending out the house rules with the Fall Newsletter. The Fall Newsletter has been approved with a couple of corrections and the addition of the Management Company’s new address.

Mike Bridges moved to approve the Old Business. Kay Waitman second the motion. Motion carried.

New Business:

Management was requested to look into getting the Bayshore Club House again for the Annual Meeting 8 February 2016.

One of the board members reported there is a Trump political sign on Admiralty Bay the house is yellow with a blue sign and it is between Eaglek Bay and Hogan Bay. Deanne stated a letter will go out to the owners tomorrow requesting the owners to remove the sign.

One of the board members asked about our using the Bayshore Club House and other amenities. Mike Bridges explained Bayshore has asked us to join them on several times. The answer is no because if we did our By-Laws and Covenants Conditions and Restrictions would be done away with. This means we could park boats etc. in the drive ways. We like the stricter policies. Bayshore West would be disbanded and it would all become Bayshore.

Stan Mayra stated his wife has agreed to start working on the web page with the webmaster in keeping things updated.


Hearing no further business Mike Bridges motioned that the meeting be adjourned. Kay Waitman seconded the motion. Motion Carried. The meeting was adjourned at 7:23PM.

Next meeting will be 28 November at Mark Smith’s home at 3041 Admiralty Bay.
