Minutes of 26 September 2016


Attendees:

Randy Bañez (President/Board), Mark Smith (Vice President/Board) Mike Bridges (Treasurer/Board/ACC Chairman), Kay Waitman (Secretary/Board Member), Stan Mayra (Board), and David Riley (Association Accountant) were present.

Deanne Tuckerman represented Ben Marsh & Associates Inc.

Call to Order:

The meeting was called to order at 6:35PM.

Quorum:

Quorum was established with 5 out of 5 Board members present.

Approval of Minutes:

The minutes of the 18 July 2016 Board Meeting were reviewed. Mike Bridges moved to approve the minutes. Mark Smith seconded the motion. Motion carried.

Financial Report:

Mike Bridges moved to overlook July financials as they will be included with the more current August financials. Mark Smith seconded the motion. Motion carried.

David Riley presented the financial report.

The association is moving along well, we are eight months into the year and at 77.48 of the budget spent. Nothing really outstanding to report. We will have a fall letter printing and at least one more mowing to catch the leaves that fall and that should about be it for summer maintenance. Mark Smith moved the Financial Report be accepted. Randy Bañez seconded the motion. Motion carried.

David Riley presented the budget for 2017. Deanne let the board know we had a homeowner who would like to have the fall dumpsters back. The board discussed this and agreed the dumpsters will be brought back a second time when there are conditions that call for it. They will not be brought back for normal fall clean up.

Mark Smith moved the budget be approved and invoices for the year be mailed out. Randy Bañez seconded the motion. Motion carried

Grounds Report:

Stan Mayra questioned if the homeowner’s association ever did anything to help the hockey rink at Bayshore. The answer is the hockey rink has had manual labor in the past to help them repair the rink etc. but the rink has never asked for any financial help in the past. If the rink or PTA asked the association for help during the major redo the association would sure entertain the possibility of helping. This rink is used by your homeowners and it would be appropriate for us to help.

Randy Bañez, Joe Young and Mike Bridges sanded and refinished the large Bayshore sign at 100thand Bayshore. Two nice shrubs were planted as borders. The spruce has been pruned back so this area looks very nice now.

The first large windstorm this season took down a large birch tree top in the top portion of Tract I. It lodged in a couple more birch so a total of 3 trees had to be removed.

Architectural Committee Report (ACC):

Mike Bridges approved a request for a new roof at 3084 Bettles Bay.

There have been several requests and approvals for paint and new roofs, some of which may not happen till next spring.

10020 Eshamy got their shed moved to a location agreeable to both the homeowner and neighbors alike. Mike Bridges and several other homeowners worked to make this happen.

Mike Bridges moved for Kay Waitman to pick up six (6) of the yellow flagmen (caution children) signs and distribute to homeowners who have small children. Mark Smith approved the motion. Motion carried.

Mark Smith moved to approve the Grounds and the Architectural Committee Reports. Randy Bañez seconded the motion. Motion carried.

Manager’s Report:

Deanne was questioned what happened to the letters and pictures that were sent out to the board in an email. Board members are being questioned as to what is happening to such and such or has this been reported and actions taken. If the board members get the emails and pictures they can answer however the letter states.

Mike Bridges moved to approve the Managers Reports. Kay Waitman seconded the motion. Motion carried. 

Welcoming Committee:

David Riley reported the Welcoming committee does not have a complete list of all the homes sold in the association. David will be updating the list soon. Two more homes will be added to the list very soon.

Old Business:

Final version of the house rules will be mailed out by Mark Smith. Everyone is requested to review them and vote via email. This will be the final vote on the house rules.

New Business:

The Bañez Brothers will be retiring at the end of this year. The Association has no teenage children who are of the age and would like the job. There is a young man who lives in Bayshore, Noah Steit, who would like the job. He is a friend of the Bañez Brothers and had helped out with the work at times. The Bañez Brothers will sell him the equipment and he will hire someone to help him out with the work. Mike Bridges moved to hire Noah Steit after an interview and making sure he wants the job. Stan Mayra second the motion. Motion carried.

The newsletter needs to be prepared everyone should be ready to make their contribution and proof the newsletter.

Adjournment:

Hearing no further business Randy Bañez motioned that the meeting be adjourned. Mike Bridges seconded the motion. Motion Carried. The meeting was adjourned at 7:28PM.

Next meeting will be 17 October at Randy Bañez’s’ home at 10130 Eshamy Bay.
