Minutes of 19 October 2015



Attendees:

Randy Bañez (President/Board), Mark Smith (Vice President/Board) Mike Bridges (Treasurer/Board/ACC Chairman), Kay Waitman (Secretary/Board Member) and David Riley (Accountant) were present.

Deanne Tuckerman and Candice Haywood represented Ben Marsh & Associates Inc.

Call to Order:

The meeting was called to order at 6:37 PM.

Quorum:

Quorum was established with 4 out of 4 Board members present.

Agenda:

Mark Smith moved to approve the Agenda. Mike Bridges seconded the motion. Motion carried.

Approval of Minutes:

The minutes of the 21 September 2015 meeting were reviewed. Mark Smith moved to approve the minutes. Mike Bridges seconded the motion. Motion carried.

Financial Report:

David Riley presented the financial reports for September 2015. Two homeowners still have not paid their dues for 2015. David was going to check with Shane Osowski, Osowski Law Offices for a report on the progress Shane Osowski has had or not had. David Riley also contributed some past year’s statistics for when dues were paid in the past years it was paid by 19 October in 2008 68 homeowners were 68, in 2013 there were 64 paid, in 2014 50 homeowners were paid, and in 2015 59 homeowners were paid. . David presented the budget report which showed we are at 87.32% of our budget but with only one fall mowing left all our major expenses has been spent so we should be very good for the rest of the year. This amount also includes fixing a bad spot in the asphalt leading into one of the walking trails to Mears Middle School. Mike Bridges moved to approve the Financial Report. Kay Waitman seconded the motion. Motion carried

Grounds Report:

Mike Bridges reported all quiet on the grounds.

Architectural Committee Report (ACC):

Mike Bridges reported all of the roofs have been completed. Mark Smith moved to approve the Grounds and ACC reports. Randy Bañez seconded the motion. Motion Carried.

Manager’s Report:

Deanne had a question, while driving to the meeting she noticed a small child’s play set at 3135 Admiralty Bay Drive. Is this allowed? Mike Bridges requested the management office send a very nice letter stating this should not be left there. Mike Bridges also requested the homeowner at 3001 Bettles Bay be sent a letter stating the new slats in his fence should be painted this year. There are paints that can still be used. Deanne reported the School District has changed their policy on allowing individuals to have meetings in the school system. Now they are requiring IRS letter indicating exemption from federal taxes. Candice has gone to the storage unit and looked at all the documents in there and could not find one. Candice also sent a fax to the IRS requesting the letter but as of yet we have nothing back in return. Mike Bridges requested Deanne call Bay Shore Club house and see what they would rent it for to us for our annual meeting. Deanne Tuckerman also requested the board look over the letter and items in the letter for the Annual Meeting. Deanne was told about several corrections to be made. Mark Smith moved to approve the Manager’s Report. Mike Bridges seconded the motion. Motion carried.

Welcoming Committee:

Kay Waitman reported all Welcoming Baskets have been delivered. Final bills had not been received from the Welcoming Committee as of this date. Randy Bañez moved to approve the Welcoming Committee Report. Mike Bridges seconded the motion. Motion Carried.

Old Business:

House Rules: Mark removed the lien portion from the new house rules since the attorney stated having the Association and the directives there is automatically a lien on any delinquent homeowner.

Newsletter: Randy Bañez stated he is still working on the newsletter.

Mike Bridges reported for information that Willey Books 3013 Eaglek Bay Circle has moved his flag pole to the other side of his driveway so the flag is not always caught in the tree. Mark moved to approve the Old Business. Mike Bridges seconded the motion. Motion carried.

New Business:

None

For the Good of the Community:

Mike Bridges reported Hillside Rotary will be making 5 more Little Libraries. Please bring old books to help fill these libraries.

Hearing no more business Randy Bañez moved to adjourn at 7:20. Mike Bridges seconded the motion. Motion carried.
