Minutes of 18 May 2015



Attendees:

Randy Bañez (President/Board), Mark Smith (Vice President/Board), Mike Bridges (Treasurer/Board/ACC Chairman), and David Riley (Accountant) were present. Yannick Hodgin (Secretary/Board) and Kay Waitman (Board Member) were absent.

Deanne and Candice Haywood (present telephonically) represented Ben Marsh & Associates Inc.

Call to Order:

The meeting was called to order at 6:36 PM.

Quorum:

Quorum was established with 3 out of 5 Board members present.

Agenda:

Mark Smith moved to approve the Agenda. Mike Bridges seconded the motion. Motion carried.

Approval of Minutes:

The minutes of the 20 April 2015 meeting were reviewed. . Mike Bridges moved to approve the minutes. Mark Smith seconded the motion. Motion carried.

Financial Report:

David Riley presented the financial reports for April 2015. Two homeowners have not paid their dues yet. Last month they were sent their final notice. The board requested management to send the delinquent homeowners to the attorney.

Mike Bridges moved to approve the Financial Report. Mark Smith seconded the motion. Motion carried.

Grounds Report:

The city replaced the bollards going into KFQD Park after a call from Mike Bridges. Mike will call back and ask them for more bollards to be placed to stop motorized machines.

We still need volunteers for the various flower beds around the area so if you know someone who would like to work on the beds please contact Mike.

The retaining wall on the path between Mears Middle School and Eshamy needs to be repaired. The person in the house next to the path have moved all their plants and contact ANA Landscaping and got a bid for $4,200.00 to put in a new retaining wall. Mike Bridges moved for the board to approve the bid and get the retaining wall fixed. Randy Bañez seconded the motion. Motion carried.

The fence along 100th Ave has been repaired where needed, power washed and will be stained by T&L Services.

Mike Bridges has watered and weed & feed from Admiralty Bay almost to Bay Shore along Ensign.

Architectural Committee Report (ACC):

Mike Bridges reported lots of roofs are going in this year, and there are a lot of homes being painted the same color as before so no approval was needed..

Randy Bañez moved to approve the Grounds and Architectural Committee reports. Mark Smith seconded the motion. Motion carried.

Manager’s Report:

Deanne reported her office got an email regarding a house on Eshamy where the bushes have not been cared for for many years. On the way to the meeting Deanne took a couple of pictures and showed the board. Deanne was requested to send a letter out and give them two weeks to make improvements or we will hire someone to do it and charge the homeowner for the work.

Mike also pointed out a homeowner on Admiralty Bay has a blue tarp on the upper deck. Please send the owner a letter and have him remove the tarp from the deck. This should be a standard violation letter.

Mike also stated anytime we are talking with someone about anything please remind them any changes to the outside of the building and lot must have approval from the Architectural Committee.

New Business:

Yannick Hodgin sent an email stating she was sorry to say that she has to resign her position on the board but please keep in touch and let her know any postings the can put on the Facebook. She is currently administrator for Facebook but is there is someone else who would like to be administrator they are welcome to do it.

Randy Bañez requested someone go to the web and remove Yannick Hodgin from all areas on the web page. Deanne stated she would notify Chris Robinson the webmaster for ABOA and ask him to remove Yannick from the web page.

The next meeting will be the 15 June 2015 6:30 PM at 3041 Admiralty Bay Drive.
